How to Use This Calculator

Calculate time between two points in two ways:

  • Simple time: Calculate hours between two times on the same day
  • Between dates: Calculate hours between two different dates and times

Common Time Calculations

  • Work hours: Track daily work time from clock-in to clock-out, minus unpaid breaks
  • Event duration: Calculate length of meetings, events, or activities
  • Overtime: Hours over 40/week are paid at 1.5× (time and a half) under federal law. Some states require daily overtime over 8 hours
  • Project tracking: Measure time spent on tasks for billing or productivity analysis

Work Hours and Pay

A standard full-time schedule is 40 hours per week, or 2,080 hours per year (52 weeks). With 2 weeks paid vacation, the actual working hours are 2,000.

Overtime Calculation

Federal law (FLSA) requires overtime pay at 1.5× regular rate for non-exempt employees working over 40 hours/week. Example: at $20/hour, overtime is $30/hour. Some states (California, Alaska, Nevada, Colorado) also require daily overtime after 8 hours.

Converting Time to Decimal Hours

Payroll systems use decimal hours, not minutes. To convert: divide minutes by 60.

  • 7 hours 30 minutes = 7.50 hours
  • 8 hours 15 minutes = 8.25 hours
  • 6 hours 45 minutes = 6.75 hours
  • 5 hours 20 minutes = 5.33 hours

Frequently Asked Questions

How is overtime calculated?

Overtime is usually paid at 1.5 times the regular rate for hours over 40 in a week. Working 45 hours at $20 an hour pays 40 x $20 = $800 plus 5 x $30 = $150, for $950. Some states also require overtime for hours over 8 in a day, and double time often applies to holidays or hours over 12.

How do I calculate hours worked for an overnight shift?

Treat the end time as falling on the next day. A shift from 10 PM to 6 AM is 2 hours before midnight plus 6 hours after, for 8 hours. Subtracting the clock times directly gives a negative number, so add 24 hours whenever the end time is earlier than the start time.

How do I convert 38.75 hours to hours and minutes?

38.75 hours is 38 hours and 45 minutes. Multiply the decimal part by 60 to get minutes: 0.75 x 60 = 45. The same rule gives 0.25 hours = 15 minutes and 0.5 hours = 30 minutes. To go the other way, divide minutes by 60, so 7 hours 20 minutes is about 7.33 hours.

Should breaks be included in hours worked?

Unpaid meal breaks, such as a lunch hour, are left out of hours worked, while short paid breaks of around 15 minutes are counted. An 8 AM to 5 PM day with an unpaid hour for lunch is 8 hours worked, not 9. A 7 AM to 3:30 PM shift with a 30 minute unpaid break is also 8 hours.
